Obligations of Elected Winners

Acceptance of Role

Upon being declared elected, the winner must formally confirm acceptance of the position in writing within 5 working days. Failure to do so may result in the position being offered to the next eligible candidate.

Term Commitment

The elected member is expected to serve the full term of their position. Early resignation must be communicated in writing to the President/Chair and Secretary with a minimum of 30 days’ notice, except in exceptional circumstances.

No Conflict of Interest Declaration

This is a mandatory requirement for all elected winners before assuming their role. Every elected winner must sign and submit a No Conflict of Interest Declaration covering the following three areas:

Financial / Monetary Interests

The elected member must declare any direct or indirect financial interest in any organisation, vendor, supplier, contractor, or entity that has or may have a business relationship with the association. This includes:

  • Personal investments or shareholding in relevant businesses
  • Any role as a paid consultant, advisor, or contractor to a competing or related body
  • Receipt of gifts, payments, or benefits from any party seeking to influence association decisions

Relationships

The elected member must declare any personal, familial, or close professional relationship with:

  • Any vendor, supplier, or contractor engaged or being considered by the association
  • Any other elected or appointed member of the committee where a conflict may arise in decision-making
  • Any external organisation that may benefit from decisions made by the committee

Organisational Affiliations

The elected member must declare simultaneous membership, directorship, or advisory roles in any other professional body, association, or commercial entity whose interests may conflict with those of this association.

Ongoing Disclosure Obligation

A one-time declaration is not sufficient. If a conflict arises at any point during the term, the elected member must:

  • Disclose it in writing to the President/Chair (or to the Election Commissioner if it involves the President/Chair) within 7 days of becoming aware
  • Recuse themselves from any discussion, vote, or decision related to that conflict
  • Allow the committee to determine whether the conflict is material enough to affect their continued service

Confidentiality

All elected members must maintain strict confidentiality of internal association matters, financial information, member data, and committee discussions. Breach of confidentiality is grounds for removal from the position.

Code of Conduct Continues Post-Election

This Code of Conduct does not end on election day. All elected winners remain bound by the principles of professionalism, integrity, and respect throughout their full term of service.
