Election Code of Conduct

Election Code of Conduct
1
Purpose

This Code of Conduct applies to all contestants in the election for the positions of President, Vice President, General Secretary, Joint Secretary, Treasurer, and Information Secretary. All contestants are expected to uphold the integrity, professionalism, and reputation of the association throughout the election period.

Violation of this code may result in disqualification at the discretion of the Election Commissioner.

2
General Conduct
  • All contestants must conduct themselves with professionalism, honesty, and respect at all times.
  • Personal attacks, defamatory statements, or disrespectful remarks about any other contestant, member, or the association — in any form or forum — are strictly prohibited.
  • Contestants must not misrepresent their qualifications, experience, or professional background.
  • Contestants must not make promises or commitments on behalf of the association that are outside the scope of the role they are contesting.
  • Any attempt to bribe, coerce, or unduly influence members to vote in a particular way will result in immediate disqualification.
3
Campaigning Rules
  • Campaigning is permitted only after the official announcement of confirmed contestants by the Election Committee.
  • All campaign materials (posters, flyers, presentations, digital content) must be submitted to the Election Committee for review before distribution.
  • Campaign materials must be factual, professional in tone, and free of content that could mislead members.
  • Contestants must not campaign during any official association meeting, event, or gathering unless a dedicated election forum has been formally scheduled.
  • No contestant may use the association’s official resources — including funds, staff, equipment, branding, or mailing lists — for personal campaign purposes.
4
Social Media Rules
  • All social media activity related to the election must be respectful, factual, and professionally worded.
  • Contestants must not post, share, or endorse content that disparages another contestant, member, or the association.
  • Screenshots, private messages, or internal association communications must not be shared publicly under any circumstances.
  • Any campaign content posted on social media must be clearly identified as the personal view of the contestant and not an official position of the association.
  • Tagging, mentioning, or publicly targeting other contestants in a negative or misleading manner is prohibited.
  • Any complaint about social media conduct must be submitted to the Election Committee in writing within 48 hours of the post appearing.
5
Voting Integrity
  • Contestants must not approach voters in the polling area or during the voting window to solicit votes.
  • Proxy voting, vote buying, or organising block votes through pressure or incentives is strictly prohibited.
  • Any contestant found tampering with the voting process in any way will be immediately disqualified and the matter referred to the association’s governing body.
6
Acceptance of Process
  • All contestants agree to accept the election process, timeline, and outcome as administered by the Election Committee.
  • Concerns or objections must be raised formally through the Grievance Committee process — not through public statements or social media.
  • The decision of the Election Commissioner is final.
