Election Framework
As part of ensuring transparency, fairness, and member confidence in the electoral process, the following election framework shall be strictly implemented.

Core Principle
  • All positions shall be contested positions by default.
  • No candidate shall be declared elected unopposed.
  • Every candidate must secure votes through a formal voting process to be declared a winner.

Voting Requirement (Single Candidate Scenario)

In cases where only one candidate is contesting a position:

  • The candidate must secure a minimum of 25% of total valid votes cast (for this election only). From onwards the minimum percentage will be 50%.
  • If the candidate fails to achieve this threshold, the seat shall be declared vacant and re-elections will be scheduled.

Re-Election Clause

If any seat remains unfilled due to failure to meet the required vote threshold:

  • A fresh election cycle for that position will be announced.
  • Previously contested candidates may reapply unless otherwise disqualified under election rules.

Voting Rights
  • Each eligible member shall be entitled to one vote per position.
  • Voting shall be conducted through a one-member-one-vote principle, ensuring equality and fairness.

Tie-Breaking Mechanism

In the event of an exact tie between candidates:

  • A transparent draw of lots (random selection method) will be conducted.
  • The outcome of the draw shall be final and binding, and cannot be challenged under any circumstances.

Election Oversight & Transparency
  • The entire election process shall be monitored by appointed independent observers to ensure fairness and compliance.
  • Each candidate may nominate up to two scrutineers to observe the voting and counting process.
  • Scrutineers will be granted controlled access to counting and verification areas.
  • The names of scrutineers shall be mutually agreed upon by all contesting candidates to ensure neutrality.

Balloting Process
  • Voting shall be conducted via a secret ballot system to ensure confidentiality and prevent influence or coercion.
  • Ballot papers (or digital equivalents) must be securely handled and accounted for at all stages.
  • Any invalid or improperly marked ballot shall be rejected and recorded separately.

Eligibility & Nomination
  • Only duly registered and eligible members of the association may contest or vote.
  • All nominations must be submitted within the officially declared timeline.
  • Late or incomplete nominations shall not be accepted under any circumstances.

Campaign Conduct
  • All candidates shall maintain ethical campaigning standards.
  • Any form of coercion, intimidation, misinformation, or vote buying shall result in immediate disqualification, subject to review by the election committee.

Dispute Resolution
  • Any electoral grievance must be submitted in writing to the election oversight panel within a defined timeframe.
  • Decisions made by the election oversight body and observers shall be final unless otherwise escalated to an agreed arbitration mechanism prior to elections.

Final Authority

The election process shall be considered complete only after:

  • Vote counting is finalized
  • Observer verification is completed
  • Official results are formally announced
